1. I have several years of experience prioritizing multiple high-level assignments throughout college and in my experience working with the California Conservation Corps and the Governor’s Office of Emergency Services.

At my current position, my assignments are mostly given to me by my supervisors, but it is up to me to handle and prioritize my daily tasks, training, and project deadlines. It is my planning, organization, and general expertise that allows me to prioritize my work and meet deadlines, ensuring high-quality results.

I have not missed a deadline and have been praised by my direct supervisor for maintaining accuracy and pace while working under several supervisors and putting in overtime with another area. I attribute this accomplishment to my organizational skills. My outlook calendar has been an amazing tool to track training, meetings, reminders, and deadlines. I also keep a whiteboard with important dates, current projects, and daily, weekly, and monthly tasks. My day normally starts with reviewing my schedule and checking emails to assess if anything new has come up. Once completed, I start on the larger projects, which gives me plenty of time to complete them. When small or immediate tasks pop up, I save what I have been working on and make note of my stopping point, so I may easily resume later. I tend to work on projects with more immediate deadlines first. I also break up larger, long-term projects into several steps with soft deadlines to stay on track.

I have always been focused but I attribute the development of my advanced organizational skills to my hectic schedule in college. During my senior year at Knox College, 2019-2020, I studied abroad in northern Germany. I was there in the fall of my last year of college, which was a challenge in itself. My classes at the Europa-Universität Flensburg concluded in December and finals were due at the end of February. This overlapped with my winter term at Knox College in January. For several months, I juggled my classes at Knox, my finals in Germany, a research assistant position, and my responsibilities as the Equestrian Team Treasurer. It was during this time I realized the value of organization and time management.

Since then I have utilized my experience handling high workloads and changing priorities to succeed … I believe my skills in this area would be very beneficial working at the California Energy Commission.

2. My previous experience as a bookkeeper for Showplant Nurseries, treasurer for the Knox College Equestrian Team, and as an Office Technician with the Office of Emergency Services has given me experience with budgetary and Fi$cal functions.

As an Office Technician with the Governor’s Office of Emergency Services and as a Business Service Staff with the California Conservation Corps, I have been trained in the acquisition and reconciliation processes within Fi$Cal. Though I am newer to this system I have previous experience with budgetary functions, including working around deficits, tracking accounts payable and receivable, and generating financial reports.

I worked for Showplant Nurseries on and off for several years. I utilized QuickBooks to manage employee payroll, accounts payable and receivable, and create financial reports, including income statements and balance sheets. When I worked there in 2020, I was helping the company with expenditure analysis. I performed an audit on their business expenditures and profit margins. I found that due to increases in material costs and general business expenses there were a few routine maintenance accounts where the company was losing money. I proposed rate increases to the owner and, once approved, contacted clients, via written notice and by phone, of the new rate for their accounts. This resulted in an approximately 10% profit increase.

While looking into the company’s accounts receivables, I also noticed serval clients with outstanding balances. I communicated with these clients, alerting them of the issue, and collected the outstanding debts. quickly identifying and routinely tracking delinquent accounts, which reduced monthly outstanding debt

While (While is the start of 2 paragraphs in a row) in college, I served as the Knox College Equestrian Team Treasurer for 2 years, 2018-2020. The year before I took over, there was an issue with a $3,000 order for the equipment. It was not placed before the end of the fiscal year, resulting in the order not being processed. As we had a surplus in the previous year’s budget, it was deemed unnecessary and when I took over, our appropriated budget was slashed and we did not have the necessary safety equipment for the team. I worked with the other members of the executive board to lower expenses so we could purchase the required equipment. As the treasurer for a college club team, I managed a $16,000 annual budget and coordinated with Athletics Department to ensure expenditures were properly tracked.

3. This past week, while working for the Governor’s Office of Emergency Services, Public Safety and Communications Branch, I have been tasked with reorganizing the entirety of our shared network drive. There is supposed to be a clear, logical order to the folder and file locations, though over time the organization has gotten a little messed up. In some cases, there are several locations for the same type of file and the file names are no longer consistent. This creates a little chaos when searching for information.

My first assignment in this project was to catalog the location and file contents for the entire group drive. This would have been very time-consuming had I not learned a few tricks with excel. Within a few minutes, I was able to catalog all 12,547 files and locations within an excel table. This table has allowed me to sort the files by name, folder, and the last date modified and search by name. This system has helped tremendously as we can search for redundant files located in two or more areas and archive the files that are no longer in use.
