The Importance of Good Business Writing Essay Example

From my first job to my most recent one, I have always found myself complaining about small details in the business that could easily be resolved. I would never speak up as an employee because I assumed it was never my place but that’s when I started to realize that I naturally had an entrepreneurial mindset. Once I knew what type of business I wanted to start I began to research the market, products, my competition, and my audience. The last thing that was on my mind was the different styles and types of writing that go into business or even just writing a business plan. Writing is one of the main reasons that business gets done and we will see cases in which writing plays a big role.

Business writing is a special form of writing created to send a clear message between your business and other people such as customers and other private organizations to achieve your business goals. Many different topics fall under business writing that includes communication through email, educational purposes, sales and marketing, reports, ads, and more. With all these different elements its very important that as an entrepreneur you’re putting out well-written proposals. Having a well-written proposal will increase the chances of increase in sales, powers quality management, others having a better understanding of the topic, and it can look good for your reputation. In a report by “Tom DuPuis,” he mentions the 4 types of business writing styles that are most commonly used, the first one being instructional writing which “provides the reader with the information needed to complete a task. The task may need to be accomplished immediately or it may be for future reference”. Examples of this type of writing could be memos, and user manuals/ instructions. Informational writing is the second type of writing he talks about which doesn’t require as much action but is important to record business information accurately to mark progress, predict future work, and comply with legal work. One of the most common styles of writing that we see in the business world is persuasive writing, which is generally associated with sales with examples like a sales email, proposals, and press releases. There are two main types of persuasive writing, the first type is very direct in trying to get the customer hooked onto a specific thing and the other is indirect with more focus on the relationship between the business and the customer. Overall the goal of persuasive writing is to “convey information and to convince the reader that the presented information offers the best value. The text is written to impress the reader and sway their decision”. The final style is transactional writing which falls under everyday communication and is why it is so important in this part of the writing process. The work task that a lot of people struggle with the most is writing so improving employees writing skills means that people will be better at the main part of their job. Effective writing means “ employees are communicating clearly in documents and emails- and avoiding miscommunications-readers are much less likely to need clarification or to make time-wasting misinterpretations. This efficient communication also ends up improving innovation, as team members collaborate better and fewer delays gum up the process”.

One of the first things that the majority of entrepreneurs do when introducing a new business is a feasibility analysis which is an assessment of a potential business rather than strictly an assessment of a product or service idea. A feasibility analysis outline for a written report includes a cover page, executive summary including the feasibility decision, table of contents, and the business concept (industry analysis, market analysis, product/ service development plan, management team, and financial plan). You may have a great business plan but it is important to go out and get feedback from customers and what they value, so having a solid feasibility analysis and that well-written approach will help you with all of that. Improving your writing skills and using the listed styles mentioned above is the best way to grow and advance your business from a base level.

Cleary from what we’ve overlooked writing is a major component when it comes to multiple aspects of the business industry and the different levels of writing that you need to know and practice. It has made it obvious that there is no way of getting around writing when doing the daily tasks in this field, but that doesn’t have to be a bad thing. By writing regularly you train yourself to communicate with others more effectively, more concisely, and over time you develop and notice a more comprehensive vocabulary. In my current business classes writing out our business plans and feasibility analysis was one of the first things that we went over so I had an idea from the beginning that writing was going to be important in having and successfully running a business. I have even started to write out my plans and ideas on paper just to keep all my thoughts organized. As an entrepreneur, it is a lot easier to get things done the right way when you are passionate about it. Whether you are writing emails, responding to a customer, or even making a social media post, it will come much more natural to write when you are discussing things that have value to you and your success. To be a great business owner to have to be open to expanding your writing skills cause now we are aware of the role it plays.
